APPLICANT TRACKING SYSTEM

Who gets access to the Applicant Tracking System?

All Residence Directors, Customer Service Associates & Business Office Managers. RDs can request access for additional persons by sending an email to [email protected]

Why can’t I find an associate in ATS once I’ve hired them?

ATS automatically filters out 2 statuses: Hired & Declined. After marking someone as “hired” you must be sure that status is selected to view their information



​BACKGROUND CHECKS

When should a background check be run?

After the person has signed the offer letter & background check authorization form (found on Lnet)

What should I do if a background doesn’t show “clear?”

Refer to the Background Check Processing Guide
If charges fall under the “review” category, send the completed background to [email protected] for direction.
 

​Tips & Best Practices

  • ATS/engagement
    • Check ATS daily, and update statuses as you engage with candidates.
    • As you speak with candidates, convey that WE would be luck to have THEM. Said another way, speak to them as if they were a favorite old co-worker you’re hoping to bring back to the company.
    • Be on time and prepared for every interview. Give them a great first impression.
    • Over communicate. Continue to call/text the candidate throughout the hiring process, especially if a step is taking longer than normal.
    • Make an offer PRIOR to running a background check.
    • Check your application flow at least every 2 weeks. Renew advertisements if applications are slowing for critical positions.​
